Task Communication

To learn how to view, send and manage communication options within ClickUp, this is the article for you.

OVERVIEW

This article relates specifically to communication on your project board in ClickUp (our project management platform of choice). For information on general communication or how to contact us, check out the article here.

We're going to look at the ClickUI and discuss the commenting options and notification settings.

COMMENTING IN CLICKUP

When you click on the title of any task in your project board, it will open up a modal containing task information on the left, and the primary communication timeline on the right, which will look like this:

You will interact directly with members of the team here. In fact, we actively encourage you to think of our people as an extension of your own team. To add a comment, simply click on the comment area and type.

When you first click on the comment area, a number of additional options will be available to you. From left to right, they are as follows:

  • Assign Comment - This can be used by both you and us and drawing a specific persons attention to a comment. The person assigned will be notified and they must then check a checkbox to mark the comment as resolved. Generally speaking, this will only be used when input is required from a particular person in order to progress the task.
  • Mention Someone - You can use the `@` symbol to tag particular people. This is a good way of directing comments to a particular person and notifying them. This is used frequently in task communication.
  • Mention a Task - When you click on this icon, it will display a list of other tasks that can be referenced. This might be useful if the current task shares some similarity with, or has relevance to, another task.
  • Emoji - A stunning array of emojis are at your disposal to bring a ray of sunshine to our communications.
  • Slash Commands - This opens up an extensive list of formatting, file adding and task action options. Rather than clicking on the icon, you can bring up this menu by typing `/` in the comment area, like so:

ASSIGNING COMMENTS

As mentioned already, assigning comments is primarily useful when action is required by a particular person in order to progress a task. Most commonly, we will use this, either when we require further information from you, or in the course of us delegating certain items to members of the team.

Comments can be assigned when creating a new comment, as shown above, but in the event that you need to assign an existing comment to someone, it can be done by hovering over the comment and clicking on the assign link that appears in the top right hand corner:

Comments that are assigned will be show details of the assignee at the bottom of the comment:

If you are assigned to the comment and have taken whatever action is required of you, you can mark the comment as resolved by checking the checkbox, which is also located at the bottom of the comment:

NOTIFICATIONS

Whenever you are tagged, have a comment assigned, or comments are made on your tasks, you will be default receive a notification of it in your dedicated notifications area. To access this area, click on Notifications in the sidebar:

Notifications will usually be sent to you by email as well as other methods. You may wish to adjust how and when you receive these notifications. You can do this in two ways.

Firstly, while you are in the Notifications area, you can click on the ellipses in the far right of the header and click on Settings from the list that appears beneath:

Alternatively, you can simply click on your profile avatar in the bottom left hand corner of the screen, and then click on Notifications from the panel that appears:

Either method will take you the notification settings area, where you can adjust them as you see fit.
